Who we are and what this policy covers

This Privacy Policy explains how personal information is collected, used, shared and protected through the Wings Dispensary mobile application for Android (the “App”), and through the related website at https://www.wingsherbal.co.za (the “Website”). It applies to the App as listed on the Google Play Store and to the services provided through it.

The Wings Dispensary App is developed and maintained by Freeman Tech Systems (Pty) Ltd on behalf of Wings Herbal. Wings Herbal is the owner of the App and is the responsible party (data controller) for the personal information processed through it. Freeman Tech Systems (Pty) Ltd is the developer and technical service provider (operator/processor) and processes personal information only on the instructions of Wings Herbal.

Where this policy uses “we”, “us” or “our”, it refers to Wings Herbal together with its developer, Freeman Tech Systems (Pty) Ltd, in relation to the App and Website. This policy is provided to meet the requirements of the Google Play Developer Program Policies and applicable data protection law, including the Protection of Personal Information Act, 2013 (POPIA) of South Africa.

What the App is for

Wings Dispensary is a herbal dispensary ordering application used by practitioners and their patients. It allows registered users to browse products (by category, condition and symptom), manage a practitioner account, capture and manage patient records, place and track orders, manage delivery addresses, make payments, send messages, and use the in-app Practitioner Assistant.

What personal information we collect

Account and practitioner information

When you register and use a practitioner account, we collect information such as your practice name, practice/registration number, contact number, cell number, practice email address, VAT number, your login email address and a password. Passwords are transmitted securely and are not stored by us in plain text.

Patient information

If you use the App to manage patients, you may capture patient details including patient name, contact number, delivery address (street address, city/town, region and postal code) and special delivery instructions. You are responsible for having a lawful basis to provide any third party’s personal information to us, and for informing those individuals how their information is used.

Order, cart and delivery information

We collect the products you add to your cart, the orders you place, the quantities and prices, and the delivery addresses associated with those orders, so that we can process, fulfil and deliver your orders.

Payment information

Payments are processed by third-party payment providers, namely PayFast and SnapScan. When you make a payment you are redirected to, or interact with, the provider’s secure payment service. Your full card or banking details are entered with the payment provider and are not collected or stored by the App. We receive confirmation of payment status and a transaction reference so that we can reconcile your order.

Practitioner Assistant chat

The App includes a Practitioner Assistant chat feature. Messages you send to the Assistant are transmitted to our servers and may be processed by an automated (AI) service in order to generate a response. Please do not include unnecessary sensitive personal information in Assistant messages.

Technical and device information

When you use the App we may collect limited technical information required for the service to function and to keep it secure, such as your IP address, app version, device and operating-system information, and diagnostic or error information. We use a secure connection (HTTPS) for communication between the App and our servers.

Website information (comments, forms and cookies)

If you visit the Website and leave a comment, we collect the data shown in the comment form, together with your IP address and browser user-agent string to help with spam detection. If you submit a contact form, we collect the information you provide in order to respond to your enquiry. The Website uses cookies for convenience and, if you log in, to manage your session. You can set your browser to refuse cookies, though some parts of the Website may then not function correctly.

How we use your information

  • To create and manage your practitioner account and authenticate you when you log in.
  • To process, fulfil and deliver your orders and manage delivery addresses.
  • To process payments through our payment providers and reconcile transactions.
  • To provide the Practitioner Assistant and respond to your messages and enquiries.
  • To maintain, secure, support and improve the App and Website.
  • To comply with our legal, regulatory, accounting and tax obligations.

Who we share your information with

We do not sell your personal information. We share information only as needed to operate the App, including with:

  • Freeman Tech Systems (Pty) Ltd, as the developer and technical operator hosting and maintaining the App on behalf of Wings Herbal.
  • Payment providers (PayFast and SnapScan) to process your payments securely.
  • Delivery and logistics providers engaged to fulfil and deliver your orders.
  • Automated (AI) service providers used to power the Practitioner Assistant.
  • Authorities or third parties where required by law, regulation or valid legal process, or to protect our rights, users or the public.

How long we keep your information

We keep personal information for as long as your account is active and for as long as needed to provide the service, and thereafter only as required to meet our legal, accounting, tax and regulatory obligations or to resolve disputes. Order and transaction records may be retained for the periods required by applicable law. When information is no longer required, we delete or de-identify it.

How we protect your information

We use reasonable technical and organisational measures to protect personal information, including encrypted (HTTPS) transmission between the App and our servers, access controls and secure handling of credentials. No method of transmission or storage is completely secure, but we work to protect your information and to address any security incident promptly. If a data breach affecting your personal information occurs, we will notify affected users and the relevant regulator where required by law.

Your rights

Subject to applicable law, you have the right to access, correct, update or delete the personal information we hold about you, to object to or restrict certain processing, and to request a copy of your information. You may exercise these rights, or ask any question about this policy, using the contact details below. You also have the right to lodge a complaint with the Information Regulator (South Africa).

Children

The App is intended for use by healthcare practitioners and adult users. It is not directed at children, and we do not knowingly collect personal information directly from children. Any patient information captured by a practitioner is provided and managed by that practitioner under their own responsibility.

App permissions

The App may request device permissions (for example network access, and, where you choose to attach or upload images, access to your device storage or camera) that are needed to provide specific features. Permissions are used only for the feature you are using and are not used to collect information for unrelated purposes.

Changes to this policy

We may update this Privacy Policy from time to time, for example when we add features or when legal requirements change. The “Last updated” date at the top of this page shows when it was last revised. Significant changes may be communicated in the App or on the Website.
